Confidentiality and the protection of privacy have a particularly high priority in our notary's office. We (Person responsible) would like to inform you below about what information we collect when you visit our website and how personal data is used in this context. Personal data is any data that can be related to you personally, e.g. name, IP address, email address, account data, family relationships, ownership relationships, and user behavior.

3. Automatic storage of data when visiting our website

When you use the website for informational purposes only, we only collect the personal data that your browser transmits to our server and that is technically necessary for us to display our website to you and to ensure stability and security. The following information is collected:

  • IP address
  • Date and time of the request
  • Content of the request (specific page)
  • Access status/ HTTP status code
  • Amount of data transferred
  • Website from which the request originates
  • Browser
  • Operating system and its interface
  • Language and version of the browser software

The data is also stored in our system's log files. This data is not stored together with other personal data relating to the user. The data is deleted after seven days at the latest.

The legal basis for the processing of the data is Art. 6 para. 1 lit. e) GDPR.

 

4. Contact details

When you contact us by email or via a contact form, we store the data you provide (your email address, your name if applicable, the subject matter, and your telephone number) so that we can process your request and, if necessary, arrange an appointment with you. We delete the data collected in this context once storage is no longer necessary, or restrict processing if there are legal retention obligations. We initially process this data in accordance with Art. 6 (1) (b) GDPR, insofar as this is necessary for the performance of a contract or pre-contractual measures. Subsequent processing takes place if we are legally obliged to do so (lit. c)) or if it is necessary for the performance of a task carried out in the public interest (lit. e)).

Please note that the confidentiality of information sent by e-mail cannot be guaranteed. We therefore recommend that you only send us confidential information by post. If you send us data via the contact form, this data will be transmitted to us using SSL encryption and stored on our servers as part of the data backup process. Your data will only be used by us to process your request. Your data will be treated as strictly confidential.

 

5. Online forms

Our website has a button for online data entry, which allows you to send us data via an online form. If you use this online service from NotarNow (LegalNow GmbH, Lena-Christ-Str. 2, 82031 Grünwald) to submit data to us via an online form. If you use this service, your details, including the contact information you provide, will be automatically stored on the NotarNow servers for a short period of time for the purpose of processing your request and in case of follow-up questions, and will then be forwarded to us. The data is transmitted in encrypted form using Secure Socket Layer (SSL/TLS) transport encryption. The data is stored solely for the purpose of processing or contacting the person concerned. The data will not be passed on to other third parties. The legal basis for the processing of the data is Art. 6 (1) (e) GDPR. The data you enter in the online form will remain with us in accordance with the mandatory legal provisions – in particular retention periods. When you use the „Save/share form“ function, your online form entries are encrypted and stored anonymously for 30 days. If the online form is not submitted to us within these 30 days, the form entries are automatically deleted in their entirety. In this case, it is not necessary for you to request deletion.

Please note that the confidentiality of information transmitted by email cannot be guaranteed. We therefore recommend that you send us confidential information exclusively by post. We will use your data exclusively for the purpose of processing your request. Your data will be treated as strictly confidential.

 

6. Technical infrastructure for processing

Our website is technically maintained by an IT service provider as an external recipient of data processing on our behalf and in accordance with our specifications.

 

7. How to get there

Our website displays a link to Google Maps. If you click on this link, you will leave our website and be redirected to Google Maps (a service provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland).

We base the use of the aforementioned tool on Art. 6 para. 1 lit. a) GDPR.

 

8. Cloudflare Content Delivery Network

This site uses CloudFlare as Content Delivery Network (CDN) to integrate resources such as JavaScript libraries or the Bootstrap framework, enabling the implementation of the website's functionality and appearance and ensuring it is displayed correctly. By using CloudFlare, we also achieve faster loading times, as many websites use the same CDN providers for the same libraries. This means that the browser you are using often already has the files cached and it is often not necessary to download them again.

If so, the browser you are using must connect to CloudFlare's servers for this purpose. This allows the CloudFlare provider to know that our website has been accessed via your IP address. The use of the services is in the interest of a uniform and appealing presentation and is the basis for the implementation of the range of functions that we offer you via our online offering. This constitutes consent within the meaning of Art. 6 (1) (a) GDPR.

9. Your rights

Please contact us at any time if you would like to find out what personal data we store about you or if you would like to have it corrected or deleted. Please understand that we can only respond to requests for information if this does not conflict with our professional confidentiality obligations as notaries pursuant to Section 18 of the German Notary Act (BNotO). You also have the right to restrict processing (Art. 18 GDPR) and the right to object to processing (Art. 21 GDPR).

The right to data portability does not exist in accordance with Art. 20 para. 3 sentence 2 GDPR if the data processing serves the performance of public tasks. Our website has integrated a news feed from the German Federal Chamber of Notaries. For technical reasons, this content is loaded from other servers by your browser.
